Ask questions about your bookings in plain language, and let the assistant do the clicking. It reads your reservations, capacity and settings, and it can create, move or cancel bookings for you after you approve each change.

What it is #
The assistant is a chat panel built into Reservics. Unlike a generic chatbot, it is connected to your actual data. When you ask “how busy are we this week”, it runs a real lookup against your bookings and answers with your numbers, not a guess.
It can do two kinds of things:
Look things up. Answers immediately.
- Your bookings for a date, a location or a status
- The details of one booking
- Booking statistics for any date range: covers, bookings by status, deposits collected
- Whether a specific date and time can take a party of a given size
- Your current settings and what your plan includes
- Who is on the waitlist
Make changes. Asks for your approval first, every time.
- Create a booking
- Reschedule a booking to a different date or time
- Change a booking’s status, for example marking it seated or completed
- Cancel a booking
- Send a reminder email for a booking
- Create or update a location
- Set a location’s opening hours
- Set date overrides, for example holiday hours or a one off closure
- Remove someone from the waitlist
It can also point you to the right screen. Ask “where do I change the deposit amount” and it will answer with a button that takes you straight there.
When you would use it #
The front desk question, answered without navigating. “How many covers do we have Friday night?” is three clicks and a date picker in the admin. It is one sentence here, and you can ask it from any page.
Taking a phone booking while you are in the middle of something. “Book a table for 4 tomorrow at 8pm for Rahim, 01712345678.” The assistant fills in the details, shows you exactly what it is about to save, and creates the booking once you approve.
Bulk-ish edits that are tedious in the UI. Moving a booking, cancelling a no show, sending someone their reminder again: each is a short sentence instead of a search, a click into the detail page and a form.
Setting up hours or a holiday closure. “We are closed on 21 February” or “Set Sunday hours to 12pm until 9pm.” The assistant prepares the change and shows it to you before anything is saved.
Finding out what your plan includes. Ask “can I use the waitlist” and it will tell you, and offer an upgrade button if the feature needs a higher plan.
Learning the app. “How do deposits work?” or “Where do I edit the booking form?” get you an explanation plus a link to the exact screen.
How to use it #
- Click Ask Reservics AI at the top of any Reservics page, or the floating button in the bottom corner.
- Type your question, or pick one of the suggestions on the welcome screen.
- Read the answer. If the assistant needs to change something, it will show an approval card first.
The approval card #
Whenever the assistant wants to write something, it stops and shows you a card with exactly what it intends to do: which booking, which date, which time, which party size.
Nothing is saved until you press Approve. Press Reject and the change is discarded; you can then tell it what to do differently.
This applies to every change without exception, including ones you asked for explicitly. There is no setting to skip it, and that is deliberate: the assistant should never be able to silently modify your book.
Managing conversations #
- New chat (the pencil icon) starts a fresh conversation. Use it when you change topic, so earlier context does not confuse the answer.
- Chat history (the clock icon) reopens a recent conversation.
- Email support (the envelope icon) switches the panel to a support form that reaches a human at Apselo. You can also reach it from the Support button at the top of the page.
- The arrows expand the panel to full screen, which is easier for long answers and tables.
What it will not do #
It cannot overbook you. Every booking the assistant creates or moves goes through exactly the same capacity, overlap, party size and table assignment checks as the admin screens. If a slot is full, the assistant is refused just like the booking form would be, and it will tell you so.
It cannot see another shop’s data. The assistant is scoped to your shop. There is no way to ask it about anyone else’s restaurant or diners.
It cannot bypass your plan. If you ask for something your plan does not include, it says so and offers an upgrade button rather than half doing it.
It does not edit your settings directly. Notification templates, the booking form builder and integrations are structured and easy to damage with a partial edit, so the assistant reads them and sends you to the right screen to change them yourself.
It does not take payments or issue refunds. Deposits and refunds stay in the admin screens.
Getting better answers #
Be specific about dates. “Next Friday” works, but “on 15 August” removes any ambiguity, especially around week boundaries.
Name the location if you have more than one. “How many bookings at Gulshan tomorrow” beats “how many bookings tomorrow” when you run several branches.
Give the whole booking in one sentence. Name, party size, date, time and phone number together saves a round of follow up questions.
Start a new chat when you switch topic. A long conversation about last week’s covers is not useful context for creating tomorrow’s booking.
Check the approval card, do not skim it. It is the last point at which a misunderstanding is free to fix.
Privacy and data #
Your chats are short lived. A conversation that has been idle for more than three days is deleted automatically, including its messages. The history drawer is a convenience for picking up where you left off, not an archive. Anything you need to keep should live in the booking record itself.
Approval requests are cleaned up too. Requests that expire, or that you approved or rejected more than seven days ago, are deleted.
Diner data erasure reaches the assistant. When a customer data erasure request comes through Shopify, that diner’s details are scrubbed from chat transcripts and pending approvals as well as from your bookings.
Your prompts and the assistant’s replies are not stored for training and are not logged by Reservics.
Troubleshooting #
“Something went wrong. Please try again.” Usually a temporary connection problem with the AI service. Send the message again. If it repeats for more than a few minutes, use the support form in the panel and tell us roughly when it happened.
The assistant says a feature needs a higher plan That is the plan gate, not an error. The Upgrade button in the reply takes you to your subscription options.
It says a booking cannot be created Read the reason it gives. Most often the slot is full, the location is closed at that time, the party is larger than the maximum you allow, or no table fits. These are the same rules your booking form enforces.
It cannot find a booking I know exists Give it more to work with: the booking code, the date, or the diner’s name and location. Bookings from other shops or deleted bookings are not visible.
My approval card disappeared Approval requests expire. Ask again and a fresh card will appear.
I cannot see the assistant at all Check that you are on a Reservics page inside your Shopify admin. If the button is missing entirely on every page, contact support: the assistant can be switched off at the service level during maintenance.
Frequently asked #
Does it cost extra? No. The assistant is included on every plan, including Free.
Will it change something without asking? No. Every write action shows an approval card first.
Can my staff use it? Anyone who can open your Reservics admin in Shopify can use it, with the same access they already have.
Does it work on mobile? Yes, in the Shopify mobile app and in a mobile browser. The panel adapts to the screen.
What language does it speak? Ask in your language and it will answer in it. Your booking data is returned as stored.
Can it replace the admin screens? It is a faster path for questions and small changes, not a replacement. Floor plans, form building and settings are still better done visually.
